Your mission

Tražimo izuzetno organizovanu, proaktivnu osobu sa liderskim veštinama za poziciju Office Manager / Koordinator Poslovne Administracije (M/Ž).

Direktno ćete izveštavati članovima rukovodstva ili projektnog tima koji su delegirani iz NUSSLI grupe. Vaš zadatak je da budete ključna kontakt osoba (Single Point of Contact), obezbeđujući besprekornu operativnost i usklađenost (Compliance). Vi ste "dobar duh kuće" u Beogradu.

Kao Office Manager, obezbeđujete "1a Service" svim stakeholderima. Istovremeno, nadgledate i vodite lokalno osoblje na nivou administrativnih saradnika, i posedujete proširene kompetencije za organizaciju i koordinaciju.

Vaša odgovornost obuhvata:

  • Lokalno Vođenje i Nadzor:

    • Direktno vođenje i motivisanje lokalnog osoblja (na nivou administrativnih saradnika).

    • Glavna odgovornost za funkcionisanje beogradske kancelarije i Backoffice-a – od operativnih tema do infrastrukture (Office Management).

  • Upravljanje Interfejsom sa Sedištem NUSSLI grupe:

    • Ključna kontakt osoba za Centralne Službe (FiCo, HR, IT) u Švajcarskoj.

    • Obezbeđivanje efikasnog prenosa informacija i blagovremenog izveštavanja ka sedištu (HQ).

  • Koordinacija Lokalnih Pružalaca Usluga (Finansije, Pravo, HR):

    • Primarno upravljanje ugovornim odnosom i komunikacijom sa lokalnim, eksternim providerima (računovodstvo, platni spisak, pravni savetnici, socijalna osiguranja).

    • Nadzor i kontrola tačnosti rada eksternih partnera kako bi se osigurala potpuna usklađenost sa srpskim zakonom (porezi, radno pravo, PDV, carina).

  • Usklađenost (Compliance) i Administracija:

    • Osiguravanje da sve operacije budu usklađene sa srpskim korporativnim, radnim, poreskim i bezbednosnim propisima.

    • Upravljanje lokalnim ugovorima, licencama i dozvolama.

    • Podrška za vize, radne dozvole i smeštaj za iseljeničko osoblje.

What you bring
  • Obrazovanje: Univerzitetska diploma ili uporedivo komercijalno obrazovanje (npr. pravnik, ekonomista, industrijski inženjer).

  • Iskustvo: Višegodišnje profesionalno iskustvo u međunarodnom okruženju sa snažnim fokusom na organizaciju, vođenje, administraciju i usklađenost.

  • Liderske i Lične veštine: Komunikativnost, jaka u liderstvu (strong in leadership), asertivnost, otpornost. Sposobnost samostalnog rada (proaktivnost) i "hands-on" pristup.

  • Lokalna Ekspertiza: Poznavanje lokalnog zakonodavstva i poslovnog okruženja. Mesto stanovanja u području Beograda.

Languages & Communication
  • Srpski: Materni jezik (pismeno i usmeno).

  • Engleski: Pregovarački nivo (poslovna tečnost, business fluent).

Your mission

We are seeking an exceptionally organized, proactive individual with leadership skills for the position of Office Manager / Business Administration Coordinator (M/F).

You will report directly to the members of the management or project team delegated from the NUSSLI Group and your role is to be the Key Contact Person (Single Point of Contact), ensuring that all operational business runs flawlessly and smoothly. You are the "good spirit of the house" in Belgrade, providing an "1a Service" to all stakeholders.

As the Office Manager, you will actively supervise and guide local staff while managing the back office. You must possess expanded competencies for organization, compliance, and coordination.

Your responsibilities encompass coordination, compliance, and leadership:

  • Local Leadership and Supervision:

    • Directly supervise and motivate staff, ensuring a professional and efficient working environment.

    • Primary responsibility for the functioning of the Belgrade office and Backoffice – covering all aspects from procurement and operational support systems to daily logistics (Office Management).

  • Interface Management with Headquarters NUSSLI Group:

    • Key contact person for Central Services (FiCo, HR, IT) in Switzerland.

    • Facilitate communication between the Belgrade office and headquarters.

    • Provide regular reports to the HQ and Head of EXPO on financial, operational, and HR performance.

  • Coordination of Local External Providers (Finance, Legal, HR):

    • Primary management of the contractual relationship and communication with local, external service providers (for accounting, payroll, legal counsel).

    • Oversight and control of the accuracy of external partners' work regarding local accounting, payroll coordination, and tax submissions.

    • Understand and coordinate processes in the international construction and trade business, such as taxes, customs, VAT, among others.

  • Compliance and Administration:

    • Ensure that all branch operations comply with Serbian corporate, labor, tax, and safety regulations.

    • Manage local contracts, licenses, and permits; ensure timely renewals.

    • Coordinate with local authorities, tax offices, and legal consultants to ensure full compliance.

    • Support visa, work permit, and accommodation arrangements for expatriate staff when required.

  • Business Representation:

    • Represent the company in Serbia toward authorities, suppliers, and potential clients.

    • All communication in Serbian, contact with authorities and officials, as well as the press, is managed and controlled via this position.

What you bring
  • Education: University degree or comparable commercial education. Industrial engineer, business economist, lawyer, financier or comparable.

  • Experience: Required relevant professional experience in an international business environment. Strong focus on organization, administration, and compliance. Ideally, experience in the field of major events (Olympic Games/Expo, etc.).

  • Leadership and Personality: Strong in organization, strong in leadership, assertive, and resilient. Autonomous, proactive problem solver motivated by bottom line results and challenges. Should be a “hands on” person with a “can do” attitude.

  • Local Expertise: Must know local law and business conditions. Very well connected in the field of construction, real estate, and authorities/politics is an advantage. Must reside in the Belgrade area.

  • Serbian: Native (written and spoken).
  • English: Negotiation level (business fluent).
